The Data Sharing screen in the online (web/mobile) app lets you grant another Lightning Payroll account the ability to download a backup copy of your payroll data. This is useful when sharing data with an accountant or bookkeeper who already has their own Lightning Payroll subscription.
Granting Access to Another Account
- Go to Settings >> Data Sharing in the online app.
- In the Enter other user's email to share field, type the email address associated with the other Lightning Payroll account.
- Click Submit.
The other account now appears in the Who can access your payroll data? table. They will be able to log in to their own Lightning Payroll account and download a backup file of your data from their Settings >> Data Sharing screen.

Downloading a Shared Backup
If another account has granted you access to their data, that account appears in the Whose payroll data can be accessed by you? table. Click the download icon next to their entry to save a backup file to your computer.
To load the data, go to Tools >> Restore Local Backup in the online app and select the downloaded file. Note that restoring a backup will overwrite any existing company data in your account.
Removing Access
To revoke access you have granted, find the account in the Who can access your payroll data? table and click the delete icon. To stop accessing another account's data, find them in the Whose payroll data can be accessed by you? table and click the delete icon.
