The NZ Employee Details screen in the online app lets you review and submit outstanding Create, Update, and Terminate tasks to Inland Revenue's Employment Service. Tasks are generated automatically whenever an employee record changes ÔÇö for example, when a new employee is added, an employee's tax code or KiwiSaver details are updated, or an employee is terminated.
Navigate to the screen
- Open the Pays area from the main navigation.
- Click the Payday Filing button to open the payday filing menu.
- Select Employee Details from the menu. If there are outstanding tasks, a badge showing the count appears next to this option and on the Payday Filing button itself.

Connect to Inland Revenue
Before you can submit, the app must be authorised with Inland Revenue. If the connection banner shows Connect to Inland Revenue, click it and complete the Inland Revenue login in the browser window that opens. Once authorised, the banner updates to Connected to Inland Revenue and shows when the session expires. If the session is close to expiring, click Reconnect.
Review and submit tasks
- The table lists every outstanding task with the employee name, employee number, action type (Create, Update, or Terminate), status (Queued, Submitted, Failed, or Success), the date the change was first and last recorded, and a summary of what changed.
- Use the Action filter to show only Create, Update, or Terminate tasks if needed.
- Select the tasks to send by ticking their checkboxes. You can select multiple tasks at once.
- Click Submit selected to IR. The button is disabled until at least one task is selected and the Inland Revenue connection is active.
- A result banner appears confirming how many requests were submitted successfully, or listing any issues that need attention. The task list refreshes automatically.
Click Refresh at any time to reload the outstanding task list from the server.
Why must Employee Details be submitted before Employment Information?
Lightning Payroll will block an Employment Information submission if there are outstanding Employee Details tasks for the same employees. Clear them here first, then return to payday filing. See Why Do I Need To Submit Employee Details Before Filing Employment Information? for more detail.
