The NZ Payday Filing ÔÇö Mailbox screen in the online app shows the history of Employment Information submissions for your company and lets you check for updated responses from Inland Revenue, retrieve return details, or delete unsent drafts.
Opening the mailbox
- Go to Pays.
- Click the Payday Filing button.
- Select Payday Filing Mailbox from the menu.

Connecting to Inland Revenue
The Check Pending Responses and Retrieve Return actions require an active Inland Revenue connection. If the connection banner shows Not connected to Inland Revenue, click Connect to Inland Revenue and complete the browser login. Once connected, the banner shows Connected to Inland Revenue along with the token expiry time. If the token is about to expire, click Reconnect.
What the submission list shows
Each row in the list represents one Employment Information submission and includes the payday date, submission date, status, employee count, IR Submission Key, and number of attempts. Status is colour-coded: green for accepted, red for failed, and blue for pending.
Actions you can take
- Refresh Mailbox ÔÇö reloads the local submission list from the Lightning Payroll database without contacting Inland Revenue. Use this to see the latest local state.
- Check Pending Responses ÔÇö contacts Inland Revenue and updates the status of any submissions still awaiting a final response. Requires an active connection.
- Retrieve Return (per row) ÔÇö fetches the full return response for a specific submission from Inland Revenue and displays it below the list. Only available for submissions that were actually filed with IR (those with an IR Submission Key). Requires an active connection.
- View (per row) ÔÇö opens the submission detail screen for that filing, where you can see field-level totals and technical details.
- Delete (per row, where shown) ÔÇö removes a draft or pending submission that was never sent to Inland Revenue. This cannot be undone. The delete button only appears on rows that the server has marked as safe to delete; submissions already filed with IR cannot be deleted here.
