Some payments are not separate statutory leave balances in the Leave Taken dropdown. Examples can include jury service, defence force volunteer leave, employment relations education leave, domestic leave, special leave, study leave, or employer-specific paid leave.
The NZ Leave Taken dropdown is a fixed list: Annual Holidays, Sick, Alternative Holiday, Bereavement, Family Violence, Public Holiday, Long Service, and Unpaid. Record these other absences using the option that matches how the employee is paid.
- If the absence is unpaid, add a Leave Taken row with the Unpaid type.
- If the employer is paying ordinary wages, pay it through the employee's normal hours or as an Allowance that best describes the payment, rather than as statutory leave.
- Do not use Annual Holidays, Sick, Alternative Holiday, Bereavement, or Family Violence unless that statutory entitlement is actually being used.
- If the employer wants an ongoing trackable balance for the payment, set it up first under Company >> Leave Balances, then accrue it per employee under Employees >> Leave >> Custom Leave Accruals. This is an accrual/balance only, separate from the statutory NZ leave types.
Keep the pay note clear so the payment can be distinguished from statutory leave.
