The online (web/mobile) app has a dedicated Manage Leave Requests screen where you can view, filter, approve, edit, and create leave requests for your employees. Before this screen becomes active, at least one employee must have their portal enabled with leave requests allowed ÔÇö see How Can I Setup Leave Requests? for setup steps.
Opening Manage Leave Requests
In the online app, go to Rosters >> Import/Manage Leave Requests. You can also navigate there from the Pays screen using the same menu option.

Filtering and Refreshing the List
Use the date range fields (Start Date and End Date) together with the Leave Type Filter, Employee Filter, Status Filter, Sort By, and Sort Direction dropdowns to narrow the list. After changing any filter, click Refresh to reload the results and generate a fresh print preview file.
The status legend at the bottom of the filter row shows the colour coding: Pending (blue), Approved (green), Denied (red), and Cancelled (yellow).
Approving or Editing a Leave Request
Click the edit icon beside any row to open the Edit Leave Request screen. From here you can:
- Add, edit, or delete individual days in the Leave Request Days table, adjusting the leave type and daily duration for each day.
- Change the overall Status (Pending, Approved, Denied, or Cancelled) using the status dropdown.
- Add notes to the Leave Request Notes table. Toggle Show Program Generated Notes? to include or hide system-generated notes.
Changes are saved automatically each time you update a field. When the status changes or a note is added, a notification email is sent to the employee.
Creating a New Leave Request
Click New Leave Request to open a blank Edit Leave Request screen. Select the employee from the Employee dropdown (only portal-enabled employees with leave requests allowed are listed), then add the required days to the Leave Request Days table. Each day entry requires a leave type, a date range (First Day Of Leave and Last Day Of Leave), and a duration. Set the Status and save.
The app skips dates that fall outside the employee's standard working days. If a public holiday falls within the leave period, a notification is shown so you can adjust the leave type for that day if needed.
Bulk Leave Requests (AU Only)
Click Bulk Leave Requests to open a three-step wizard that applies leave to multiple employees at once.
- Select Employees ÔÇö choose the employees who should receive the leave. Only employees currently eligible for leave requests are listed.
- Build Leave Template ÔÇö add one or more template rows specifying the leave type, date range, and daily duration. Set the Default Status that will be applied to each generated request.
- Review And Apply ÔÇö review the generated drafts. Invalid rows are skipped by default. Click Edit on any row to adjust that employee's days or status before applying. Click Apply to create all selected leave requests.
Calendar View and Print Preview
Click Calendar to open the leave calendar report for the current period. Click Print/Preview to download a PDF of the filtered leave request list using the chosen font and size settings.
